Development or refinement of internal facilities and operations processes

Many companies, regardless of their size, have existing processes for procurement, bidding, moves / adds / changes, or how their internal departments that support building operations communicate. Some of those processes work well, some do not, and some don’t yet exist. Our experience in working with vendors, facilities and operations teams, lab user groups, and PIs offers a perspective that is valuable to organizations of all sizes. Our belief is that all facilities and operations processes must be created from a holistic perspective and in partnership with adjacent departments, vendors, internal teams, and executives.

instrument and procurement tracking

New lab spaces or healthcare facilities require infrastructure to support the research and patient care they provide. When building out or designing the MEP needs for a new space, it’s important that organizations have the equipment sizing details, cut sheets, and infrastructure requirements for each instrument. Our detailed templates offer a resource for PIs, lab user groups, or operations teams to “fill in the blanks” so that general contractors and MEP subcontractors have the information they need to plan spaces appropriately. Re-Form also can help track procurement activities, instrumentation lead times, CapEx expenditures on new equipment, and coordinate the storage or delivery of equipment.

FF&E budget development

Using our experience and vendor relationships,we assess every aspect of a new furniture or reconfiguration project and provide a detailed multi-level budget. Understanding the potential costs associated with their project allows our clients the ability to spend their capital funds wisely and engage the correct vendors and service providers.

Furniture dealer management

We partner with the selected furniture vendors on our clients’ projects to develop proper meeting cadences that align with the decision milestones, help them through the sometimes complicated nature of the construction of a space, and ensure that they are performing.

Move planning, coordination, and vendor management

We can coordinate and plan all move activities. From helping to organize the office purge, internal garage sales, disposal plans, or temporary storage locations, we do it. Vendors partner with us to develop cost proposals for evaluation based on detailed move scopes, validate scope on walkthroughs of each project, assess timelines, and evaluate any risks associated with the move.

Equipment deployment

Any company that has experience managing a move that includes lab or medical equipment understands the importance of placement. The locations of equipment as it relates to the installed plug types, emergency power, UPS backups, and gasses all play a huge role in the successful outcome of a project. We double-check the MEP plans to ensure the placement of equipment aligns with our detailed equipment lists and partner with user groups to coordinate temperature monitoring or sample care.

Evaluation of existing facilities and assets

We have the expertise to review your on-site assets, including: instrumentation, furniture, infrastructure requirements, workplace programs, and IT equipment. This can be put into a detailed shared inventory or used to inform the costs and timeline of a future project or decommission.

Equipment list development

The infrastructure required to operate a research lab or healthcare space requires careful planning for mechanical, electrical, and plumbing vendors. We can solve the sometimes endless back-and-forth regarding instrumentation through the development of a highly detailed equipment list that becomes a shared document for the project team and is the backbone for MEP design build. We can use the same tool to develop deployment plans for new equipment, track lead times, equipment costs, and placement.

Furniture requests for proposals (RFP) and selection guidance

Re-Form Consulting truly understands commercial furniture, the importance of selecting the right vendor, and the adjacent products and services that will provide long-term value for our clients. Our industry relationships are deep and methodology for conducting the RFP process, interviews, and vendor evaluations is not only proudly unorthodox, but most importantly, fair and transparent. We provide a platform for every vendor to address the important aspects of a project, but don’t ask them to waste their time on RFPs that are not vetted.

Support construction, tenant improvement, or decommission projects

There are times that a client’s resources may be depleted in the midst of a project that involves a move, needs furniture oversight, or a plan for vacating a space. Our construction partners are the boots on the ground, and understand if a project is at risk for becoming a furniture or move coordination disaster. That’s when they call Re-Form to take the stress off the project team and push it towards a successful first-day-of-business.

Furniture RFPs and Vendor Management

Furniture installation typically takes place at the end of a construction project, but needs to be heavily coordinated with internal IT teams, electrical subcontractors, and general contractors to ensure success. Our team of furniture experts understands the importance of electrical connections to furniture, how the limitations of a building could affect the placement of workstations, and are integral partners in the punch-list and closeout experience. Schedules we develop include all related parties’ scopes that are responsible for first-day-of-business success: project completion dates, inspections, occupancy, low voltage scope, electrical scope, IT, furniture installation, move day, and punch-list through resolution.

White glove move day experience

After carefully planning and coordinating the move, we can be on-site to act as the liaison between the move crew, the organization’s points of contact, and to direct traffic to ensure everything is in its place. We provide detailed move reports that indicate what scope has been completed during that move day and remedy any potential issues that may come up in the following day.
